ORTIS Modules

This module of the ORTIS provides complete information of the human resource available in the country, province or any geographical area.

HR Listing

Provides complete list of the human resource along with EPI centers, population being served by the HR. The list can be filtered by HR type and status of the employment

Employment Type

The module tracks the employment status of each HR. e.g. Permanent employee, terminated, retired, temporary, contract are some examples

HR Information

System captures full details of each employee. This includes employment code, personal details, service joining details, bank information, salary and pay scale etc. .

Traning Information

The module captures trainings received by each employee. System captures all types of the training organized and who has attended those training. Hence maintains complete database of trainings.

Surveillance is an ongoing process to find out occurrence of diseases in the populations for public health action to reduce morbidity and mortality. The goals of surveillance are to describe the current burden and epidemiology of disease, to monitor trends, and to identify outbreaks and new virus or bacteria.

Zero Reporting

Zero reporting is a weekly activity. The district user collects information about the cases from union council/village level (last mile).

Case Investigation

The system allows entering information about case investigation form for the cases reported in the particular week.

Outbreak Response

If more than five cases are identified in the union council/village then it is considered as outbreak. The vaccinator of the designated area then plans an outbreak response and.

Reporting Compilance

There are reports available for the immunization manager to view the compliance of the system. This includes compliance reports for zero reporting from each health facility.

Inventory and warehouse management module deals with the stock storage and distribution of vaccines and ancillary items..

Stock Issue

Allows store manager to easily issue health commodities based on FEFO (First expiry, first out) principles. The module is available in all three types of interfaces i.e.

Ordering

Any level of the store can place order to the upper level of the store to request commodities. The system helps users to create an order based on the consumption patterns.

Stock Adjustments

Enables store managers to adjust stock e.g. physical found, lost, damage items

Location Management

The system enables to warehouse mangers to define bin locations for appropriate space management of dry stores as well as the cold/freezer rooms and ice lined refrigerators

Stock Receive

There are two types of the stock receive options available. Each depends on the type of store. The sites responsible for the procurement of the goods.

Consumption and Coverage Reporting

System has the ability to consumption and coverage reporting from service delivery points. The system has ability to have one integrated.

These reports are entered into the system by each health facility. The data entry frequency of these reports is monthly. This includes the logistics reporting of all vaccines and ancillary items and number of children vaccinated against each age group and TT vaccination to pregnant women .

Consumption Reporting

This report is entered by each health facility along with batch information in doses and vials of on hand stock, received quantity, consumed, adjustment and closing balance. The reports also includes number children vaccinated

Coverage Reporting

Coverage reports includes number of children vaccinated against each age group at fixed centers, outreach, mobile vaccinators and at LHW health houses

Consumption and Coverage Reporting

This report is combination of above two reports. The sites reporting jointly consumption and coverage doesn’t need to enter above two reports on monthly basis

The system must provide RED/REC micro planning module. The system must include

Micro plans management for supervisors for fixed and outreach sessions

Situation analysis for RED/REC micro plan

Planning of special activities for hard to reach and problem areas

Provide template for session plans

RED strategy for problem solving

Ability for EPI Center to develop workplan for each quarter

The system must provide SIA module. This module must include following features

Provide federal or provincial EPI program can launch a Supplementary Immunization Activity (SIA) Campaign and Catch-ups along with the ability to create and configure teams for SIA

Collect and enter data for campaigns and catch ups.

Aggregated data entry at UCMO through mobile and web interfaces.

The dashboards based on the data entered in the system by the districts and the UCMOs for deeper analysis.

The dashboard must have different level of access to the different users in the federal, provincial and district EPI program offices, ministry/department of health, partners and other stakeholders.

Provide reports on daily coverage, vaccine and refusal

The system must provide ability to manage the cold chain utilized to provide EPI services to public. These must include

Keep record of all cold chain equipment at all supply chain tiers where vaccine is being stores. The equipment includes ILR, Cold Room, cold chain vehicle, Ice Pack, clod boxes etc.

Keep record of volume of each cold chain item. Also provide visibility of cold chain equipment volume utilization status such as used capacity, unused capacity, overloaded

Provide visibility to EPI manager about cold chain equipment working status such as working well, not working, need repair etc.

Keep record of cold equipment functional and location status

Provide visibility of EPI centers with non-functional ILRs and/or without ILRs
